Summary of process steps

Completing your training

As part of study setup, your CRO or sponsor may have worked with Clario to assign training to you. If required, you’ll receive customized training on the software and study protocols. Continue here to learn how to complete your training.

Telling us more about your site

To help get you started smoothly, we need details about your site’s equipment and modality capabilities. If applicable, you’ll be asked to complete a questionnaire and online forms about your equipment, its location, and the assigned technologists.

Uploading your test data

Before you get started, let’s run a quick final check. You may be asked to upload test data, such as a Scanner Protocol or Phantom Data. This tutorial will guide you through the upload process.

Adding your colleagues

Let's get your whole team onboard. Add, edit, and remove users from one central location.

Accepting your study invitation

The team managing your study will invite you to join the study. Press Join the Study when you receive the invitation.

Still haven’t received your invitation? Your invitation email might be in your junk or spam folders. Look for an email from Clario titled "You Have Been Invited to a Study”. If you still can’t find it, contact your CRO or sponsor team.

New user registration

  1. Press No.

  2. Complete the account creation form by filling in all mandatory fields.

  3. Press Create Account, then log in with your newly created credentials.

Returning user registration

  1. Press Yes.

  2. Enter your User Name, then press Next.

  3. Enter your Password, then press Log in.

Completing your training

You may need to complete training before accessing all study features in Clario’s portal. Follow these steps to get started.

  1. Log into your Clario Global Account at https://gsso.ert.com/idp.

  2. Press Select Study or Organization and select your study from the list. Or click the desired 'Project Name' from the Recently Accessed list.

  3. Kickstart your training by pressing Complete Your Required Training.

No required training? Lucky you! You can jump straight into Clario’s platform by selecting My Site to access site management features.

Managing your site

To complete your onboarding, go to My Site and finish the following tasks:

  • Confirm your shipping address

  • Complete the Modality Assessment

  • Add your equipment and assign technologists

  • Submit your site questionnaire

  • Add your colleagues to the system

Now, let’s walk through how to complete each task step by step.

Can’t perform all of these tasks? Your Clario Portal role allows you to access certain features. Not all roles will be able to access all features.

Confirm your shipping address

Take a moment to confirm your shipping address is accurate. Follow these steps to make any changes:

  1. Navigate to your site management options with My Site.

  2. Press Edit Shipping Address to make changes.

  3. Enter your corrections in the provided fields and menus.

  4. Press Save to commit your changes.

Can’t see your full address? Hover over the address to view the full content when three dots (...) appear.

Completing a Modality Assessment

  1. Press Start Questionnaire and complete the required form fields.

  2. Press Submit.

Each modality appears on a card on the left side of the screen (e.g., MR). More cards will appear as more modalities are associated with your site. The selected card appears gray, displaying its associated information (e.g., Modality Assessment and Equipment).

Adding equipment

Adding equipment to Clario's portal involves entering equipment details, specifying its location, optionally assigning technologists, and completing a study-specific questionnaire. Our system automatically guides you through each step.

  1. Press + Add New Equipment.

  2. Press + Add New and complete the Add Equipment Details form.

  3. Press Next and select the Equipment Location. To add a new location, press + Add New and complete the Location form.

  4. Press Next and select the technologist.

  5. Press Add after completing the Technoligist Details form.

  6. Press Complete to save your work and exit the Add New Equipment module.

Submitting your site questionnaire

Before you can submit the site questionnaire, please ensure you have completed the Modality Assessment and added at least one piece of equipment. Once these steps are done, you can proceed to submit the site questionnaire by pressing the Submit button. A success notification will confirm your submission.

You cannot edit the Modality Assessment or Equipment details while Clario reviews your submission.

Awaiting approval from Clario

How long will it take?

If your CRO or sponsor set a turnaround time with Clario, it will appear in the equipment table. Check your Study Dashboard regularly for updates on the review status.

What notifications will I receive?

You’ll receive an email if Clario has questions about your site questionnaire or once the review is complete. Just follow the instructions in the email to continue.

What can I do while I wait?

You can add your colleagues to the study by following these instructions.

Uploading test data

Not all studies require test data to be uploaded as part of the site onboarding experience. However, if your study does, you can upload two different types of test data: Scanner Acquisition Protocol or Phantom Data.

  1. Navigate to your site management options with My Site.

  2. Locate the equipment table and press the action button in the Activity column.

  3. Review the study and device information, then press Select files.

  4. Select the files or folder, or drag and drop them into the upload field. The files will appear on the screen. Click Next.

  5. Follow the data type procedure:

    • Scanner Protocol: Close the browser tab once the upload is complete.

    • Phantom Data: Answer all questionnaire prompts before pressing Next. If you skip any prompts, you'll receive an error message. Close the browser tab once the upload is complete.

  6. The equipment status will update to show the test data was uploaded. Press View Upload to see the details.

Adding site users

Ready to add your colleagues to the Clario Portal? Just head to the Site Users tab to get started.

  1. Press + New User.

  2. Complete all fields.

  3. Select the appropriate role from the drop-down menu.

  4. Press Submit when done.

  5. You'll be notified that the new user was requested successfully. The notification will disappear automatically or you can press x to dismiss it.

To assign multiple roles, click the Roles field again and select additional roles. Clear roles by pressing x next to the role name.
