This article explains how to use the View Data tab to locate, review, and update clinical data.

You’ll learn how to navigate event types, filter and search visits and sessions, compare activities across study events, and access actions for managing study data.

View Data: Overview

View Data helps you navigate large volumes of clinical form data in a clear, structured way. This feature separates site‑level visit data from participant session data, making it easier to understand the context of each submitted activity.

View Data focuses on presenting clinical forms in a readable, organized layout. From this tab, you can filter, search, and compare information across visits and sessions to support reviews, data checks, and DCR resolution.

Two sidebars guide your experience:

1 - Event Type Sidebar

Use this sidebar to select the data you want to review: Visit Data, Session Data, or a full chronological list of all submitted data.

2 - Activity Sidebar

The activities displayed here update automatically based on the event type you select.

  • When you select Visit or Session, this sidebar shows the activities submitted within that study event.

  • When you select Data, the sidebar instead lists all available visits and sessions.

The forms displayed in the main view update instantly as you change filters or event selections, making it easy to compare results across study events or drill into a specific date, visit, or activity.

Finding the Data You Need

Filter Options and Event Types

When you open the View Data tab, the system defaults to the most recent study event with available data. You can change what you’re viewing at any time by selecting an event type. Each event type organizes clinical data differently, helping you quickly find the information you need for reviews, source checks, query resolution (DCRs), or participant-level assessments.

Visits

Site‑level events such as scheduled and unscheduled visits,  or any form completed during in‑clinic interactions.

Use this view when you want to see everything completed during a specific visit date.

Sessions

Participant‑level events that occur outside the site, often through participant‑facing eCOA applications—for example, diary entries or at‑home assessments.

Use this view when you want to follow a participant’s sequential activity between visits.

Data

A chronological list of all submitted clinical outcomes—regardless of whether they originated from a visit or a session.

Use this view when you want a time‑ordered overview or need to compare the same activity across multiple study events.

Applying Filters

Follow these steps to filter and navigate events in the sidebar:

  1. Select an event typeVisits, Sessions, or Data.

  2. The most recent event appears at the top of the list and is automatically selected. You can switch to any event by selecting its name.

  3. The sidebar displays up to 10 events at a time. Use the forward and back arrows to load additional events.

  4. If you prefer not to browse event by event, you can search or filter using the options below.

Filtering Visits

  • Enter part of the visit name (e.g., Visit 3 or Week 12) in the search field.

  • The list updates instantly based on your search terms.

Filtering Sessions

  • Select a date range to narrow the sessions you want to review.

  • Choose the start and end dates, then select OK.

  • The calendar opens to the current month.

    • Use arrows to move month‑to‑month.

    • Switch to year view to move more quickly across wider date ranges (each range includes 24 years).

Filtering All Data

  • When viewing Data, search by form name or activity name to jump directly to the relevant submission.

Searching for Data

In addition to browsing or filtering, you can perform a targeted search:

Search by Event Type

  • Visits: Search by visit name.

  • Sessions: Search by date range.

  • Data: Search by form or activity name.

Search by Keywords

Use part of a visit name, session date, or activity name to quickly narrow the list.

Search Across Study Events

Select another date or event in the sidebar to compare the same form across different visits or sessions.

Actions for Managing Study Data

Users with the appropriate permissions can update clinical data directly from the View Data tab. When data is edited, deactivated, or added, an automatic Data Change Request (DCR) is generated and pre‑populated with the subject context, change details, and reason for the update. After sign‑off, the DCR is closed and logged in the audit trail.

Study‑level settings determine whether site users can edit data directly, submit changes for review, or request updates through a reviewer.

The “Edit” Button

Introduction to direct self-edits

Users with the appropriate permissions can use the Edit button in the View Data tab to update form data when corrections are needed. Edits are completed in Expert Editing Mode, which displays the full form with all fields visible—regardless of form logic.

To edit study data:

  1. Select Edit.

  2. The form opens in an editable view.

  3. Make the necessary updates. Dependent fields and scores update automatically if form logic applies.

  4. Review the changes and provide a reason for the update.

  5. Sign off using your Clario Portal credentials to save the changes.

After sign‑off, a Data Change Request (DCR) is automatically created and closed. The system logs all previous values, new values, the reason for change, user details, and timestamps in the audit trail.

The “Manage” Button

Introduction to moving study data

Depending on your permissions and study settings, you can use the Manage button in the View Data tab to move study data to a different visit or session, or to the correct participant. This is helpful when data was entered in the wrong study event or assigned to the wrong participant.

To move study data:

  1. Select Manage.

  2. Choose the participant and study event you want to move the data to.

  3. Follow the prompts to confirm details such as dates or times.

  4. Review and sign to complete the update.

Frequently Asked Questions

How do I navigate to the page where I can view and manage a participant’s study data?

From Clario's Global Dashboard:

  1. Press Select Study or Organization.

  2. Choose your study from the drop-down list, or press Show more… to search for it.

  3. Press Subjects.

  4. Select the participant whose data you need to review.

  5. Press View Data.
