Learn how to find study events, move data to the correct participant or visit, and complete required sign‑off steps using the View Data Manage workflow.
Summary of Process Steps
Find the Study Event
Use the event list in the View Data sidebar to locate the visit, session, or data entry you want to edit. You can browse, filter, or search to quickly find the correct study event.
Start the Manage Workflow
Select Manage to open the Manage view, where you can see the event details and choose where the data should be moved. This view helps you get oriented before making changes.
Move Study Data
The Manage view includes three columns that show the selected event, available destinations, and additional options. Use these columns to review data, choose a destination, and adjust dates and times.
Review and Submit Edits
Review your changes, choose a reason for the update, and sign off with your Clario Portal credentials. Your edits are submitted only after sign‑off.
Before You Begin: Permissions and Study Settings
Your ability to edit study data in the View Data tab depends on both your user permissions and the data‑change settings configured for your study. These settings control how updates are handled and who is allowed to make them.
Studies can be configured in one of the following modes:
Direct Edit – You can make and save changes immediately.
Submit for Review – You can submit changes, but they must be reviewed and approved by a designated reviewer before they take effect.
By Request Only – You cannot edit data directly. Instead, you submit a request describing the update, and a reviewer applies the changes on your behalf.
If you do not see editing options in View Data, your study or role may not allow direct edits. Contact your sponsor or CRO study management teams for more information about your permissions.

Find the Study Event
To locate the data you want to edit, use the event list in the View Data sidebar.
To search and filter the data list:
Select an event type — Visits, Sessions, or Data.
Browse the list or use search or filters to narrow your options.
Visits: Enter part of the visit name.
Sessions: Choose a date range.
Data: Search by form name or activity name.
Select the visit, session, or data entry you want to review.
The form for that study event opens in the main panel, ready for review.

Start the Manage Workflow
Once the form is open, you can start the manage workflow.

To start the Manage workflow
Select Manage on the form you want to adjust.
Once the Manage view opens, you’ll see a layout with three columns. Use these columns to review the current event and choose where the data should be moved.

Get to know the Manage view
First Column
Shows the participant and study event you selected, along with editable Start Date and Start Time fields. Additional cards may appear below to show related data for the event.
Second Column
Contains drop‑downs for Subject and Study Event, which define where the data will be moved.
Third Column
Provides space for additional destinations. Select the + button to add another participant or study event if you need to move data to more than one place.

Adjusting dates and times
Update the date
Select the calendar icon.
Use arrows to move between months or switch to year view for quicker navigation.
Select OK to save or Cancel to discard.
Update the time
Select the clock icon.
Use the arrows to adjust the time.
Select OK to save or Cancel to discard.

Leaving the Manage view
To exit without making changes, select Close (X) in the top‑right corner to return to View Data.

Move Study Data
In the Manage workflow, each form appears as a card in the first column. Cards that can be moved are outlined in blue and include a six‑dot grid icon.
Use the Subject and Study Event selectors in the following columns to choose where the data should go, then drag the moveable card into the destination column.
Greyed-out data?
Cards that cannot be moved appear greyed out and are not clickable.
To move data to a different study event:
In the Subject drop‑down, select the same participant.
In the Study Event drop‑down, choose the event you want to move the data to.
Drag the blue‑outlined, moveable card from the first column into the destination column.
The Start Date and Start Time fields update automatically based on the event you selected. Repeat these steps for as many cards as you need to move.
To move data to a different participant:
In the Subject drop‑down, select the participant you want to move the data to.
In the Study Event drop‑down, choose the appropriate event for the new participant.
Drag the blue‑outlined, moveable card from the first column into the destination column.
As with moving between study events, the Start Date and Start Time update automatically. Repeat these steps for each form you need to move.
Need more destination events or participants?
Use the + button if you want to create an additional destination event or move data to another participant.

Review and Submit Edits
After you finish, you must review your changes and sign off. Have your Clario Portal credentials ready, as the system will require authentication before the updates can be submitted.
To review and submit your edits:
Select Save.
Choose a Reason for Change. If you select Other, enter additional details in the text box.
Review the list of changes, scrolling as needed to confirm all updates.
Select Sign.
Enter your Clario Portal credentials to authenticate the change.
Confirm authorization by selecting I authorize this request.
Select Sign again to finalize the update.
Once signed, your changes are submitted. A Data Change Request (DCR) is automatically created and closed, and the system logs all previous values, new values, the change reason, user details, and timestamps.
You’ll return to the View Data tab, where the form is now locked. All updates—including who signed and when the sign‑off occurred—are recorded in the audit trail.
